Getting started

What is SyncDiary?
Practice management for counsellors and psychotherapists: your diary, your clients, your session notes and your practice finances in one place, in step with the Outlook or Google calendar you already use.
Who is it for?
Counsellors and psychotherapists in private practice in the UK, working on their own. It’s one practitioner per account — practices with several therapists aren’t supported yet.
What do I need?
A Microsoft 365, Outlook or Google account for your calendar, and a web browser. There’s nothing to install.
How does setting up work?
A few short steps: your details; connecting your calendar, where one sign-in covers your calendar, contacts and tasks and nothing is changed without asking; choosing your calendars; bringing your contacts across, if you want to; and deciding whether to bring in appointments you’ve already had — SyncDiary shows you how many before it does.
Can I use it on my phone?
Yes, in your phone’s browser. Add it to your home screen and it opens like an app. There’s no app store download.
I use Apple Calendar.
Use it with a Google or Microsoft account behind it, and your sessions show in Apple Calendar too. Using Apple iCloud
Can I bring my clients across?
From your Outlook or Google contacts, or add them yourself. There’s no import from a spreadsheet yet.

Your calendar

Will it change what’s already in my calendar?
Nothing is changed without asking. Sessions you book in SyncDiary appear in your calendar, and changes you make there come back.
Can I keep using Outlook or Google as I do now?
Yes. Appointments you add there come into SyncDiary too, and you can link them to a client.
Can my clients book online?
Not yet — there’s no booking page for clients. You book sessions, and can send someone a choice of your free slots.

Clients and notes

Where are my session notes kept?
Encrypted, and kept with the client. Security and GDPR
Does SyncDiary take payments from clients?
No. It records who’s paid and who owes what; your clients pay you just as they do now.
Can I keep client agreements in it?
Not yet. Signed client agreements and your practice’s own documents are coming soon.

Price and trial

How much is it?
£25 a month or £250 a year, with everything included. Pricing
Is there a free trial?
Yes — 60 days, with no card needed to start.
I’ve just qualified.
If you qualified in the last 12 months, your first year is free. Free for new practitioners
Can I cancel?
Any time, from Settings → Subscription.

Your data

Where is my data stored?
On Google Cloud, in London.
How does SyncDiary help with GDPR?
You’re the data controller for your clients’ records and SyncDiary is your processor, registered with the ICO. You can export everything, erase a client, and use our suggested wording for your privacy notice. Security and GDPR
Can I take my data with me?
Yes — export everything whenever you like, from Settings → Backup & Restore. Close your account and it’s deleted 30 days later.
Is my data used to train AI?
Never. Nor is it sold, or used for advertising.

Tax

Will it do my tax return?
No. It works out what to set aside for income tax and Class 4 National Insurance as you go, so you’re ready when the bill comes. Its figures are estimates to help you plan, not tax advice, and it doesn’t yet handle Scottish rates, payments on account or VAT.
