Terms of service

Last updated 15 October 2026

These terms are an agreement between you and Carey Webb, trading as Sync Diary (“we”, “us”), who provides SyncDiary. By creating an account you accept them. If you use SyncDiary for a business, you accept them on its behalf.

1. The service

SyncDiary is online practice-management software for therapists: a diary that syncs with Microsoft 365 or Google Calendar, client records, session notes, availability, a wait list, financial records and tax estimates. We may improve and change it over time.

2. Your account

  • You must be 18 or over and give accurate details.
  • Keep your password safe. You are responsible for what happens under your account.
  • Tell us straight away at support@syncdiary.co.uk if you think someone else has used it.

3. Trial, price and payment

  • New accounts get a 60-day free trial. No card is needed to start it.
  • After the trial, SyncDiary costs £25 a month or £250 a year, paid in advance.
  • You can cancel at any time. Your subscription runs to the end of the period you have paid for. We do not give refunds or part refunds for unused time — the free trial is there so you can decide first.
  • If a payment fails or a subscription ends, your account becomes read-only for 7 days and is then locked. Your data is kept, and you can still export it, until you delete your account.
  • We will tell you at least 30 days before a price change affects you.

4. Your data and your clients' data

  • Everything you put into SyncDiary remains yours. You can export it and delete it at any time.
  • For the information you keep about your clients, you are the data controller and we are your processor. We process it only to provide SyncDiary to you, keep it confidential, protect it, and delete it when you delete your account — as described in our privacy policy.
  • You are responsible for having a lawful basis for the client information you record, for meeting your professional and regulatory obligations, and for telling your clients how you use their information.

5. Acceptable use

You must not misuse SyncDiary — for example by trying to reach another account's data, disrupting the service, reverse-engineering it, or using it for anything unlawful.

6. Connected accounts

When you connect a Microsoft or Google account, SyncDiary acts on your behalf in that account as described in our privacy policy. Those services are provided by Microsoft and Google under their own terms, and we are not responsible for them.

7. Availability and support

We work to keep SyncDiary available and your data safe, but we cannot promise the service will be uninterrupted or error-free. Keep the exports you need. Financial and tax figures are estimates to help you plan; they are not professional accounting or tax advice.

8. Liability

Nothing in these terms limits liability that cannot legally be limited, such as for death or personal injury caused by negligence, or for fraud. Otherwise, we are not liable for indirect or consequential loss, or for loss of profit, and our total liability in any 12 months is limited to the amount you paid us in that period.

9. Ending the agreement

You can close your account at any time in Settings. We may suspend or close an account that seriously or repeatedly breaks these terms, and will give notice where we reasonably can.

10. Changes to these terms

If we change these terms in a way that matters, we will tell you before the change takes effect.

11. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
